Smartsoft Services Ltd ("we", "us") is registered in England and Wales, company number 05806117, registered office 109 Davenport Road, Leicester, England, LE5 6SE. We are the controller of the personal data described in this policy.
What we collect
When you contact us or request a quote we collect the details you provide: your name, email address, telephone number, company, website, a description of your project, your budget and timeline, any file you attach, and your preferred contact method. If you book a call we also record the time you choose.
We also record a hashed (non-reversible) version of your IP address to prevent spam and abuse.
Why we use it and our lawful basis
- To respond to your enquiry, prepare a quote or arrange a call (legitimate interests, and steps taken at your request before entering a contract).
- To keep our website secure and prevent spam (legitimate interests).
- To send you information you asked for. We do not send marketing without your consent.
How long we keep it
We keep enquiries and attachments for a limited period (currently 24 months) and then delete them automatically, unless a contract is agreed, in which case we keep records for as long as the law requires.
Who we share it with
We do not sell your data. We use service providers (for example website hosting, email delivery and spam protection) who process data on our behalf under appropriate agreements.
Your rights
You have the right to access, correct, erase or restrict the use of your personal data, to object to processing, and to data portability. To exercise these rights contact us using the details on our contact page. You may also complain to the Information Commissioner's Office (ico.org.uk).
